This policy explains what personal information we collect through this website, why we collect it, who we share it with and the choices you have. We have tried to keep it short and in plain English.

This website is run by The Coastal Collection, a trading name of R&L Management Ltd, a company registered in the Isle of Man. R&L Management Ltd is the data controller for the personal information described in this policy, which means we decide how it is used.

The website lists our holiday homes in Cleveleys, Lancashire, England. Bookings and enquiries are received and handled by us.

We handle personal information under Isle of Man data protection law (the Data Protection Act 2018 and the GDPR and LED Implementing Regulations 2018). Where it applies to guests in the UK, we also follow UK data protection law (the UK GDPR and the Data Protection Act 2018).

What we collect

  • Bookings: when you book through the booking form, your name, email address, phone number, address, the home and dates you booked, the number of guests and any message you add. These details are collected by Smoobu, our booking provider, and shared with us so we can manage your stay.
  • Enquiries and messages: your name, email address, phone number, the dates you are interested in, the number of guests, the property you asked about and anything you write in your message.
  • Administrator accounts: name, email address, password (stored only in encrypted form by our login provider) and records of sign-ins.
  • Technical information: your IP address, browser type and basic server and security logs created when you use the site. We also keep a one-way scrambled version of the IP address with messages sent through the contact form to help stop spam.
  • Newsletter: if you sign up in the footer or tick the optional box on the enquiry form, we keep your email address, where you signed up, the wording you agreed to and the date and time you agreed.
  • Email records: details of the emails we send you, such as the address, the time sent and whether delivery succeeded.

Payments are handled by Smoobu and the payment providers it connects to. We do not see or store your full card details.

Why we use it and our lawful basis

  • To take and manage your booking, including payment, confirmation, arrival information and any changes or cancellations. Our lawful basis is performing our contract with you.
  • To answer your enquiry and discuss a possible stay. Our lawful basis is taking steps at your request before entering into an agreement, and our legitimate interest in replying to people who contact us.
  • To run administrator accounts so we can update the property details and reply to enquiries. Our lawful basis is our legitimate interest in running the site.
  • To send you occasional news and offers, only if you have signed up. Our lawful basis is your consent. You can withdraw it at any time using the unsubscribe link in any newsletter email, or by contacting us, and we will stop sending them.
  • To keep the site secure, prevent spam and misuse and fix problems. Our lawful basis is our legitimate interest in protecting the site and its users.
  • To meet legal obligations, for example keeping records or responding to lawful requests.

Who we share it with

When you send an enquiry about a property, it is seen only by us and the people who help us run the collection, so that we can reply and arrange your stay.

We use trusted service providers who handle information on our behalf and only on our instructions: our website hosting provider, our database and login provider, our email delivery provider and Smoobu, which provides the booking box on each property page and processes the details you enter into it.

The guest reviews shown on our home page are supplied by Revyoos, a review service that collects reviews our guests have left on booking sites. When the reviews load, your browser connects to Revyoos's servers, which will see technical details such as your IP address and the page you are viewing.

The map of each home's approximate area on our property pages is provided by Google Maps. When the map loads, your browser connects to Google's servers, which will see technical details such as your IP address and the page you are viewing.

We do not sell your personal information. We do not send you marketing emails unless you have signed up to our newsletter, and we do not use an outside mailing list service for it.

We may also share information if the law requires it or to protect the rights and safety of our guests or ourselves.

International transfers

Some of our service providers may store or process information outside the Isle of Man and the UK. Where that happens, we make sure appropriate safeguards are in place as required by data protection law, such as adequacy decisions or approved contract terms.

How long we keep it

We keep newsletter details until you unsubscribe. After that we keep only a record that you unsubscribed, so we do not email you again by mistake.

We keep enquiries and messages for up to 24 months, unless we need them for longer, for example because a stay was arranged or to deal with a dispute or a legal requirement. We keep booking records for as long as the law requires for tax and accounting purposes, normally six years.

We keep administrator account details while the account is active and delete or anonymise them within a reasonable period after it is closed. Security logs and email records are kept for a limited period and then deleted.

Your rights

Under Isle of Man data protection law, and UK data protection law where it applies to you, you have the right to ask for a copy of your information, to have it corrected if it is wrong, to have it deleted, to restrict or object to how we use it, and to receive it in a portable format. Some rights only apply in certain circumstances.

To use any of these rights, contact us using the details below. We will reply within one month.

How to complain

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right.

You also have the right to complain to the Isle of Man Information Commissioner at www.inforights.im.

If you live in the UK, you may also contact the Information Commissioner's Office (ICO) at ico.org.uk.
